Overview

Deleting a user from Google Workspace permanently removes their account and revokes access to Google Workspace services such as Gmail, Google Drive, Google Calendar, Google Meet, and other associated applications.

Before deleting a user, it is highly recommended to transfer or back up any important data, as deleted user accounts can only be recovered for a limited period.

Before You Begin

Before deleting a user, ensure that:

  • You have administrator access to your Google Workspace account.

  • Any important emails, files, calendars, or contacts have been backed up or transferred to another user.

  • You understand that deleting a user removes their access to all Google Workspace services.

Step 1: Sign in to the Google Admin Console

  1. Open your web browser.

  2. Visit https://admin.google.com.

  3. Sign in using your Google Workspace administrator account.

Step 2: Open the Users Page

  1. From the Admin Console dashboard, click Directory.

  2. Select Users.

This page displays all user accounts within your organization.

  1. Locate the user you want to delete.

  2. Click on the user's name to open their account details.

  1. Click More options (︙) or More.

  2. Select Delete User.

  3. Review the confirmation message.

Google Workspace will prompt you to transfer ownership of the user's data before permanently deleting the account.

Step 5: Transfer User Data (Recommended)

Before deleting the account, Google Workspace allows you to transfer important data to another active user.

You can transfer items such as:

  • Google Drive files

  • Gmail messages (where applicable)

  • Calendar events

  • Google Docs, Sheets, and Slides ownership

  1. Enter the email address of the user who should receive the transferred data.

  2. Confirm the transfer.

  3. Click Delete User to complete the process.

Important Notes

  • Deleting a user permanently removes their ability to sign in.

  • Data recovery is only possible for a limited period after deletion, subject to Google's retention policies.

  • Once the account is deleted, the associated Google Workspace license becomes available for reassignment to another user.

  • If you do not plan to replace the user, you may reduce your license count through your Google Workspace subscription (if your billing plan supports it).

Troubleshooting

Unable to Delete the User?

Possible reasons include:

  • You do not have Super Administrator privileges.

  • The user owns shared resources that require reassignment.

  • There is a temporary Google Workspace service issue.

Frequently Asked Questions

Can I recover a deleted user?

Yes. Google Workspace allows recovery of deleted users for a limited time (typically up to 20 days). After this period, the account and its data are permanently removed.

What happens to the user's email?

The user will immediately lose access to their mailbox. If email or other data needs to be retained, transfer or back up the data before deleting the account.

Will deleting a user free up a license?

Yes. Once the user has been deleted, their Google Workspace license becomes available for reassignment.
